Modern boardrooms are busier and more complex than ever. Boards must juggle strategic oversight, compliance, risk management, and the constant need to make informed decisions quickly. But all too often, they’re weighed down by inefficient, time-consuming processes that slow progress.
OnBoard is committed to changing that. By providing powerful tools that streamline workflows and simplify governance, the platform helps boards remove friction, boost productivity, and focus on what matters most.
Recently, OnBoard hosted a product roadmap session, giving attendees an inside look at the latest platform enhancements and a preview of innovative tools on the horizon – all designed to help boards work smarter, not harder.
During the session, attendees had the opportunity to:
- Dive deep into OnBoard’s recently released Docusign feature and the latest Minutes AI enhancement.
- Preview Agenda AI, OnBoard’s upcoming AI-powered tool that accelerates agenda creation.
- Gain insight into OnBoard’s broader AI vision and what’s ahead for smarter, faster boardrooms.
Read on for key takeaways from this forward-looking session.
Docusign is Now Embedded Within OnBoard
Heather kicked off the session by announcing OnBoard’s new integration with Docusign, which simplifies eSignature workflows for board professionals. Now, Docusign’s interface and functionality is fully embedded into OnBoard – no additional Docusign account needed.
This integration was built to address real-life customer challenges:
- Fragmented tools create duplicate work for administrators.
- Board members dislike juggling disparate apps and prefer frictionless experiences.
- Managing external signers can be messy without a standardized process.
- Limited status visibility makes it unclear who signed what and when.
- Security and compliance risks arise when documents live in multiple places.
“Customers face major friction when managing eSignatures today,” Heather said. “These pain points have shaped how we’re evolving the OnBoard eSignature experience.”
Embedding Docusign within OnBoard addresses these challenges. Administrators can now:
- Send and track all document signatures in one secure location
- Support external signers with no login required, which speeds up turnaround times
- Monitor signature status in real time, without chasing down signatures via email
- Maintain robust security and compliance standards, including legal-grade audit trails
Everything happens directly within OnBoard – no need to switch apps or manually upload documents. Users can send signature requests as envelopes or packages and track whether recipients received, signed, or requested changes – all in one view. Signers can complete the process from anywhere, on any device, without logging in.
“This removes unnecessary friction and speeds up the process,” Heather said.
OnBoard Now Offers Two Signature Tools with Distinct Purposes
OnBoard will continue to offer its built-in eSignature tool, in addition to the Docusign integration. That’s because each signature tool serves a different purpose.
OnBoard’s built-in eSignature tool is designed for straightforward, low-risk workflows like an internal approval or quick acknowledgement. “It’s simple, faster, and great for keeping things moving when complexity isn’t a factor,” Heather said.
On the other hand, the Docusign integration is equipped to handle more complex, multi-step workflows, legal grade audit trails, and the ability to collect signatures from external parties.
Together, these two options give boards the right tools for every signature scenario, whether it’s a quick internal signoff or a legally binding agreement with external stakeholders.
“All these options are designed to save time, reduce manual effort so you can spend less time chasing signatures, and more time focusing on what matters,” Heather said.
Minutes AI delivers faster, easier meeting records
For many boards, creating meeting minutes is a major source of frustration. They face significant challenges, including:
- Difficulty capturing the essence of the meetings
- Lack of clarity on what should be recorded
- Concern about abiding by governance and compliance standards
- Time-consuming drafting process
- Juggling too many systems
OnBoard built Minutes AI to address these pain points. By working directly with Zoom or Microsoft Teams, Minutes AI can capture the meeting in real time. That means board professionals can truly participate in a meeting rather than scrambling to take notes.
Some of the key benefits of Minutes AI include:
- Hands-free meeting capture: You can focus on the meeting, rather than taking notes.
- Complete, controlled recording: Pause when needed, and resume when ready.
- Governance-specific intelligence: Motions, seconds, and actions are automatically identified.
- Editable drafts: Minutes are drafted in moments and can be edited, reviewed, and distributed when ready.
- Single, secure experience: No need for app-switching. Everything you need is in OnBoard.
Because Minutes AI is purpose-built for boards, it goes beyond generic AI transcription. It understands governance essentials, flags key actions, and structures minute drafts in a way that aligns with compliance requirements. However, customers always maintain control. You decide how the AI-generated content is retained, shared, and stored, which ensures security and privacy at every step.
“Minutes AI has already been a game-changer for board meeting documentation,” Heather said. “It’s secure, reliable, and built to support your governance standards.”
Agenda AI will streamline, accelerate agenda creation
A good agenda is the foundation for success in any meeting. But the process of compiling an effective agenda is easier said than done. Many board administrators spend hours formatting and planning, often starting from scratch every time. In addition, they must:
- Synthesize inputs from many stakeholders, often arriving at the last minute
- Meet compliance and governance standards
- Maintain context and continuity by manually combing through past meeting minutes and notes to carry forward relevant topics.
OnBoard built Agenda AI to address these exact pain points. The feature, which is now in early customer beta, will reduce manual overhead and meeting prep time by drafting agendas from natural language instructions or uploaded content. Draft agendas will include sections, subsections, recommended time allotment, and speaker assignments, which will provide a strong, structured starting point.
“We have a very exciting roadmap to add even more to Agenda AI. So keep an eye out for more information on feature availability and updates,” Heather said.
OnBoard’s AI Vision Reflects a Clear Commitment to Smarter Boardrooms
Heather wrapped the session by taking a deeper dive into OnBoard’s AI vision.
“Our mission is to ensure our technology supports the real-world challenges that boards face,” she said. “From managing compliance to making strategic decisions that serve your mission, we work closely with boards of all sizes to understand how they work and what they need.”
OnBoard believes greater governance isn’t just about efficiency. It’s about stewardship, accountability, and the ability to make decisions that advance your mission.
“Our goal is to remove friction from board work so leaders can spend less time on logistics and more time on mission,” Heather added. “We’ve built our platform on trusted technology and make it easy to use, which is where AI comes in.”
When it comes to designing AI to support governance, OnBoard follows 3 guiding principles.
- Respect the board’s mission and time: OnBoard’s tools are intuitive and easy to use so directors can work smarter, not harder. Whether summarizing meeting materials or highlighting key decisions, the goal is to help boards stay focused on what matters most: their mission.
- Enhance, not replace, human leadership: AI acts as a trusted assistant, not a decision-maker. It surfaces insights, highlights risks, and simplifies tasks, while leaving strategic decisions in the hands of board members.
- Protect privacy and maintain trust: Confidentiality and ethical responsibility is critical in the boardroom. OnBoard’s AI is built with rigorous privacy protections, secure data handling, and clear accountability so board work stays protected and professional.
Minutes AI and Agenda AI are exciting tools that will improve the efficiency and impact of boards. But these features are only the beginning. OnBoard’s roadmap includes several additional capabilities, including:
- Book AI: Adds intelligence to board materials by surfacing key overviews, discussions, and related content, which makes it easier for directors to prepare for meetings and show up ready to engage in impactful discussions.
- Insights AI: Helps boards measure their meetings, understand trends, benchmark governance, and personalize preparation for each director.
- Actions AI: Ensures that decisions made in meetings lead to real outcomes by tracking follow-ups, flagging next steps, and connecting meetings across time.
“Together, these tools deliver an end-to-end AI-powered governance experience designed to save time, reduce friction, and help boards focus on what matters most,” Heather said.
OnBoard’s AI is Built on Security and Compliance
Security and compliance are the foundation of everything OnBoard does. The platform is built on Microsoft Azure, and each customer’s instance is isolated, encrypted, and protected under globally recognized standards, including ISO and SOC 2 Type II certifications. OnBoard also meets HIPAA and GDPR standards, ensuring board data remains private, secure, and fully under your control.
Furthermore, OnBoard’s AI doesn’t perform any learning or training on your data. Instead, it leverages content exclusively for your board, delivering clarity, insights, and summaries to help you work more effectively and efficiently.
In short, OnBoard is transforming the way boards work while maintaining safety and security.
“OnBoard is a purpose-built AI-powered platform that replaces outdated processes with intelligent, seamless workflows by automating your prep, distilling insights, and capturing decisions with governance-grade precision throughout all phases of the board meeting process,” Heather said.
The comprehensive blueprint for selecting a results-driven board management vendor.
